FAQ

In addition to the manual and the quick guide, you can find more detailed information on specific content here. If you have any further questions or suggestions, please get in touch with your contact person (key user). You can reach the university bibliography at: https://hochschulbibliographie.uni-wh.de/

The prerequisite for the inclusion of a publication is its publication, i.e. it has been made available to a broad public in printed or electronic form. Electronic documents must be available in a stable and long-term manner.

You can only create entries after you have logged in. Click on “Login” at the top right, select our university and log in with your usual UW/H user name and password. You can also create works for another person.

Please take your time and enter your first entries step by step using the manual. The manual has many screenshots and tips to help you find your way around and save you work in the end.
Always carry out a duplicate check first before entering/importing (enter the title or DOI/ISBN in the search field).
Always check your entry on the basis of the original publication. For example, use the PDF of the journal entry, the entry in Pubmed or on Springerlink, the imprint or table of contents of a book or similar.

Enter the name of the person or organizational unit in the search field and select the search criterion in the suggestion wizard that appears. Select the scientist or organization from the list of results. You can set additional filters for many search results on the left. In the person entry or organizational unit entry, scroll down to the “Works” tab.

After logging in and checking for duplicates, click on “Report” in the menu bar at the top and select “Work”. If you know the DOI or ISBN of the work, you can import the bibliographic data via the “Import via DOI or ISBN” link. If you do not have a DOI or ISBN, select the appropriate type from the “Publication type” list on the “Create work” page. In this case, the bibliographic data must be entered manually. In both cases, you will be shown a form consisting of several tabs (“Workpages”). Please refer to the manual and/or the quick guide to find out which fields need to be filled in.

In addition to the mandatory fields marked with *asterisks by the provider, the UW/H specifies the following mandatory fields to be filled in.

    Workpage “Basic data”: Publication date, language and “peer reviewed information”
    Workpage “Identifiers”: External identifiers, type of identifier, identifier ID: DOI for newspaper articles, ISBN for books such as monographs, edited volumes, conference proceedings ... ISSN if you are creating a journal.
    Workpage “Person”: internal - personal data, role; if applicable external - surname, first name, role (no title); i.e. all persons involved in the work in the order according to the original publication. Always create UW/H researchers as “internal”.
    Workpage “Is part of”: Title for “Is part of (superordination is available in the database)” as well as further details if specified in the original publication (volume, issue, page numbers, article ID). Each publication must be linked to the medium in which it was published.
    For conference contributions or similar, the workpage “Event” appears: event name, location, count (e.g. how many conferences), date

An organizational unit refers to an institution of the UW/H, such as a chair, an institute, a department or a faculty. The data basis of the university bibliography is the official organizational structure of the UW/H and is continuously updated. Organizational units and projects can only be entered or deleted by the editorial team. Projects have not yet been entered. 

Do not enter this. All current and some former UW/H researchers have their own personal entry and are assigned to their organizational unit. If you link the person when creating a publication, the publication is automatically assigned to the person's superordinate organizational units. Only then will the publication also be displayed in the publication list of the person and/or their superordinate organizational unit(s). See also “Person workpage” in the quick guide below or in the manual.

As a rule, all UW/H researchers have their own personal entry in the university bibliography.
For individual publications, the affiliation is indicated in the respective original publication.
If there are no personal entries, please let us know the name and the corresponding publication at hochschulbibliographie@spam protectuni-wh.de and the relationship of the person to UW/H or until when.

Personal entries of researchers are not deleted, but the person receives the status “Alumnus/-a”. This means that the publication remains assigned to the former UW/H researcher and thus to the higher-level organizational unit.
If you do not want to include publications by former UW/H researchers in the publication list of a chair, check the “Active members” filter under “Organization(s) and project(s)” when creating the publication list.

On the “Is part of” workpage, enter the above information. For journal entries, you will find this information in the original publication, usually before or after the title.
Example 1: “J. Clin. Med. 2022, 11(16), 4751”
J. Clin. Med. = abbreviation of the journal title; 11 = volume; 16 = issue; 4715 = article ID (assigned for online-only journals / epubs)
Example 2: “J. Clin. Med. 2022, 11(16), 23 - 29”
Same as example 1, except that “23-29” are the page numbers (for print versions)

Once the editorial team has revised a publication you have entered, you can no longer change the entry. Please inform the team of your change requests via hochschulbibliographie@spam protectuni-wh.de.

If the save button cannot be clicked, a mandatory field is not filled out. You can see which workpage the incomplete mandatory field is on by the red marking in the workpage menu. Click on the workpage marked in red and add or delete the data marked in red (delete via the red trash can).

You can protect yourself in various ways: Check your entries using the manual. Compare the information with the information in the original publication. Contact the key user for your department/area (see “Your contact person”). Wait for quality assurance from the editorial team. Depending on the volume, this can take some time. Checked data sets receive the editing status “editing completed”.

Immediately after saving a data record, the works in the university bibliography are visible to all users and also all external users. They also appear in a publication list immediately as soon as you create or update the list. So always make sure you enter it carefully.

ORCID is an academic identity management tool. The scientists create an ORCID profile themselves and can use it for life, regardless of employer or place of work. If you have registered with ORCID and entered publication data, you can link and synchronize your ORCID profile with the university bibliography. You can find information about this in the user manual.

Please check the filter settings for your publication list: In the menu at the top, go to “PubliG – Saved publication lists”, then click the pencil next to the relevant list (“Edit”).

  • Check whether you have filtered the list by publication year and therefore a current publication is not displayed. In the publication that does not appear in the “Person” workpage,
  • check whether you have specified the participating UW/H scientists as “internal”. If necessary, check other filters that have been set.  
  • Then check in the preview function of the publication list whether the work appears. 
  • If yes, click “Save”.

You can currently only save the lists in the database and integrate them on your website using the publication list ID (see instructions). Other options for exporting the list, e.g. B. as PDF or in Word does not currently exist. However, you can call up the list (PubliG - Saved publication lists - Edit - Preview) and copy-paste the contents into Word and edit them further.

The UW/H university bibliography is part of a joint university bibliography developed by the Bochum University Library and the Dortmund University Library and is used by various research institutions (clients). That means e.g. B. that scientists from other clients also have their own personal entry and are therefore considered “internal”.

Look for the publication in the university bibliography. Click on the “Quote” button. If necessary, select the citation style. Copy the text to the clipboard. If you would like to cite several publications, we recommend creating a publication list.
